When customers call your FieldIntake number, we collect: caller phone number, call recordings, AI-generated transcripts, and service request details (name, address, problem description, etc.) provided by the caller.

We collect information about how you use the dashboard, including login times, pages viewed, and features used.

  • To provide and maintain the FieldIntake service, including answering calls, generating transcripts, and creating service orders.
  • To send you SMS and email notifications with service order details.

4. Call Recordings

All incoming calls are recorded for quality assurance and to provide accurate service orders. Recordings are stored securely and are accessible only to the account owner through the dashboard. Callers are not explicitly notified of recording at this time; account owners are responsible for compliance with local recording laws in their jurisdiction.

5. Data Sharing

We do not sell your personal information. We share data only with:

  • Service providers: Telnyx (telephony), Google (AI processing), SendGrid (email), and Stripe (payments) — only as necessary to provide the service.
  • Legal requirements: When required by law, subpoena, or court order.

6. Data Security

We use industry-standard security measures to protect your data, including encrypted connections (HTTPS/TLS), secure database hosting, and hashed passwords. However, no method of transmission over the Internet is 100% secure.

7. Data Retention

We retain your account data and call records for as long as your account is active. Call recordings are retained for 90 days unless you request earlier deletion. Upon account cancellation, we delete your data within 30 days.
